Enterprise Inventory Materials

• Service Category - Select the Profit Center and Service Category for the item from the drop down list
• Part Number - Enter the part number of the item in the text box. It is recommended to use the exact part number provided by the manufacturer so that any searches in parts catalogs will recognize that you stock the item so you won't order an item from a supplier that you have in stock
• Description - Enter a description for the part in the multi-line text box. It is recommended that you be very consistent with descriptions across multiple items of the same type. You should match these descriptions to the ones used in service packages and definitions as the description on service packages is passed to the inventory search dialog on the work order
• Manufacturer - Enter the manufacturer of the item in the text box. It is recommended that you be very consistent with manufacturers across multiple items from the same manufacturer to facilitate filtered searching by manufacturer
• Code - Enter the code you wish to use for the item in the text box. It is recommended that you be very consistent with codes across multiple items that use the same code to facilitate filtered searching by code
• Size - Enter the size information for the item in the text box. It is recommended that you be very consistent with the format you use for size information to facilitate filtered searching by size. E.g. Tires - If your preference for tire size information is P195/65R15 then use that format for all tires in inventory. Alternatively, if you wish to speed up the search for tires and use 1956515 instead then be sure to adopt that format for all tires in inventory
• Grid Location - Enter the physical location of the item in the text box. Be very consistent with grid locations across multiple items in the same location to facilitate filtered searching by grid location
• Default Supplier - Choose the primary supplier from the drop down list. This will be used for generating reorder lists
• Definition - Choose the ACES Definition for the item by clicking the search button. Setting the definition for the item builds a tighter relationship with electronic catalog searches from the work order and subsequently your inventory
• • In the search dialog type in your search criteria in the text box and then click the Search button
  • Select the definition from the results by clicking on it and then click OK
  • The definition is returned to the material item.
• Unit Conversion - Select the Unit Conversion you wish to use for the item from the drop down list
• Sell Fractional Quantity - Click the check box if you want to be able to sell partial quantities of this item (e.g. 4.5 units of oil)
• Type - Select wether the inventory is regular owned inventory or consignment from the drop down list.
• Low Order - The stocking level that triggers the item to appear on a reorder list. The item will appear on the reorder list if the quantity on hand is equal or less than the low order
• High Order - The stocking level that a reorder list suggests to replenish to. The item will appear on the reorder list if the quantity on hand is equal or less than the low order and the reorder quantity will be set to the high order - quantity on hand. E.g. The low order is 2 and the high order is 4. If the quantity on hand is 1 the reorder list will suggest that 3 be order to replenish back to the high order level
• Buy Factor - The quantity you purchase at one time. If the item comes in a package of 12 then this would be set to 12.
• Core Unit / Unit of Measure - Enter in the number of units in the container the item is purchased in the first text box and the unit of measure in the second. The software will wait until the specified number of units are sold before returning the core. E.g. If you have a core charge on a 30 cylinder of refrigerant you would enter 30 in the first text box and Cylinder in the second text box. The software will wait until you sell 30 pounds until the core is returned.
• Lock Sell Price - If this check box is checked the pricing can't be modified at the location and can only be modified in Enterprise Setup.  If you wish to have the pricing levels at the location be updated then the code at the enterprise and location need to match.
• Group (Optional) - Select the line group to apply to the material item from the drop down list.

• Access Inventory Materials as instructed above
• Click the Pricing tab

 

Default Sell Price - This price establishes the initial selling price for the item for all Inventory Price Levels. Once you establish the calculations for the item's price levels, the default price becomes redundant and isn't used by the system for anything. You can determine If your price levels are using the default sell price if the information in the calculation column is preceded by an asterisk. Once the price level has been modified the asterisk will be removed.

 

• Type - Select the method you wish to use to calculate your selling price from the drop down list
• • Fixed - Allows you to specify an exact selling price for the item
    • Price - Type in the exact amount you wish to sell the item for in the text box
  • Cost - Allows you to use a markup calculation for the item
    • Calculation % - Enter the percentage markup you wish to use to calculate your sell price in the text box
  • Cost +/- $ - Allows you to add a fixed dollar amount
    • Calculation Amount - Enter the dollar amount you wish to add to the base cost of the item in the text box. This can be a positive or negative amount
  • MSRP - Allows you to sell at MSRP or a factor of
    • Calculation % - Enter the percentage multiplier on the MSRP you wish to use to calculate your sell price in the text box. This percentage can be positive or negative
  • MSRP +/- $ - Allows you to add a fixed dollar amount
    • Calculation Amount - Enter the dollar amount you wish to add to the MSRP of the item in the text box. This can be a positive or negative amount

     

  • Margin - Allows you to use a gross profit margin calculation for the item
    • Calculation % - Enter the margin percentage you wish to use to calculate your sell price in the text box
• Final Price - After choosing and defining the calculation type above the resulting selling price will be displayed here.
• Base Cost - The cost of the item for both the buy and sell units.
• Base Core - The core cost of the item for both the buy and sell units.
• MSRP - The item's manufacturer suggested retail price.
• MSRP Core - The manufacturer suggested retail core price.

 

Pricing Levels - The pricing levels displayed in the list are a result of what has been defined in the Inventory Price Levels dialog. Once  the pricing levels have been defined, you can edit the pricing calculation for each level.

 

Edit Pricing - You can edit the selling price, cost and MSRP data for any material item.

Advanced Price Editing - You can edit the selling price, cost and MSRP data for any material item using advanced features that let you add and edit several base and effective prices for different time frames, view expired pricing and delete them.
